1. Who we are

Terraform is the trading name of Red5 Artist Management Ltd, a UK light art studio based in Salisbury, Wiltshire, producing large-scale light installations for festivals, events and public spaces. In this policy, “we”, “us” and “our” mean Red5 Artist Management Ltd trading as Terraform.

Red5 Artist Management Ltd is registered in England and Wales under company number 09472397, with its registered office at Windover House, St Ann Street, Salisbury SP1 2DR.

2. The information we collect

Information you give us

When you complete our contact form we collect the name, email address and message you provide, and — if you choose to enter them — your telephone number and company name. We do not ask for any other personal details, and you should not send us sensitive information through the form.

Information collected automatically

When you visit the site, we and our service providers may record your IP address, browser and device type, the pages you view, and the date and time of your visit. Some of this is collected using cookies and similar technologies, which are explained in our Cookie Policy.

3. Why we use it, and our lawful basis

  • To answer your enquiry and discuss a possible commission. Our lawful basis is our legitimate interest in responding to people who contact us and, where a project is being discussed, taking steps at your request before entering into a contract.
  • To keep the site secure and free from spam. Our lawful basis is our legitimate interest in protecting the site and preventing abuse of the contact form.
  • To understand how the site is used. Our lawful basis is your consent, given through the cookie banner. You can withdraw it at any time without affecting anything we did before you withdrew it.

We do not use your information to make automated decisions about you, and we do not sell it or rent it to anyone.

4. Who we share it with

We share your information only with service providers who process it on our behalf, under contract and on our instructions:

  • ATEN Digital — hosts this website and its database on servers in the United Kingdom, and provides its technical maintenance and security.
  • Postmark — delivers the emails generated by the contact form.
  • CleanTalk — filters spam submissions, checking the content of the submission and the IP address it came from.
  • Google Analytics 4 — website analytics, used only where you have given consent.
  • Bunny.net — the content delivery network that serves the site’s images and files.

We may also disclose information where the law requires it, or to establish or defend legal claims.

5. Sending information outside the UK

Some of the providers listed above process data outside the United Kingdom, including in the United States. Where that happens, we rely on the UK’s international data transfer agreement or addendum, or on other approved safeguards, so that your information continues to receive an equivalent standard of protection.

6. How long we keep it

Contact-form submissions are stored in the website’s database so that we can reply to you and keep a record of the conversation. We keep them for 24 months from the date you submit the form, after which they are deleted automatically. We may keep related email correspondence for longer where we need it for our accounts or to defend a legal claim. Analytics information is kept for the retention period set within Google Analytics, and spam submissions are deleted as a matter of routine.

7. Your rights

Under UK data protection law you have the right to ask us to:

  • give you a copy of the personal information we hold about you;
  • correct information that is inaccurate or incomplete;
  • delete your information, where there is no good reason for us to keep it;
  • restrict how we use it, or object to us using it for our legitimate interests;
  • transfer it to you or another provider in a portable format;
  • stop using it where you had given consent, by withdrawing that consent.

8. Complaints

If you are unhappy with how we have handled your information, please tell us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office, the UK’s data protection regulator, at ico.org.uk or on 0303 123 1113.

We may update this policy from time to time. Any changes will be published on this page with a revised “last updated” date.
